1. Introduction

Welcome to Landlord HQ (“the Service”), operated by [LEGAL ENTITY TBC] (“we”, “us”, or “our”). By accessing or using the Service you agree to be bound by these Terms of Service.

The Service is designed for use by private landlords and property owners in England and Wales. If you are acting in a professional capacity on behalf of a client, you remain responsible for ensuring your use of the Service complies with these terms.

If you do not agree to these terms, please do not use the Service.

2. The Service

Landlord HQ is a property compliance monitoring tool designed to help private landlords in England and Wales understand and track their legal obligations. We provide personalised compliance checklists, certificate expiry tracking, tenancy agreement analysis, and monitoring of UK housing legislation.

Landlord HQ is an information tool, not a legal advice service. Nothing in the Service constitutes legal advice, and you should not rely on it as such. Compliance requirements can vary depending on your specific circumstances, local authority rules, and changes in the law. Always consult a qualified solicitor for advice specific to your situation.

We make no guarantee that using Landlord HQ will ensure your full legal compliance. Responsibility for meeting your legal obligations as a landlord remains entirely with you.

3. Accounts

You must provide accurate and truthful information when creating your account. You are responsible for maintaining the confidentiality of your login credentials and for all activity that occurs under your account.

Your account is personal to you and must not be shared with or transferred to any other person. If you become aware of any unauthorised access to your account, notify us immediately at hello@landlordhq.uk.

4. Subscription and Pricing

4.1 Billing

Paid plans are billed from the day you subscribe. There is no free trial; the free compliance audit and the free advisor questions are available without a card or an account.

4.2 Subscription

Full access requires a subscription. Two plans are offered: Landlord at £9.99 per month or £99 per year, covering up to 5 properties; and Portfolio at £19.99 per month or £199 per year, covering an unlimited number of properties. Annual billing saves approximately 17%. All features are included on both plans; the plans differ only in the number of properties you may add. There is no per-property charge on either plan. If you reach your plan's property limit you may upgrade at any time via the Settings page. Payment is processed securely via Stripe. You may cancel your subscription at any time via the Settings page within the app, or by emailing hello@landlordhq.uk. Cancellation takes effect at the end of the current billing period. No partial refunds are issued. No money-back guarantee is offered.

4.3 Property Limits

There is no per-property fee on either plan: you pay one subscription price regardless of how many properties it covers. The Landlord plan covers up to 5 properties. The Portfolio plan covers an unlimited number. If you attempt to add a property beyond your plan's limit you will be prompted to upgrade; your existing properties and data are never removed or made inaccessible as a result of reaching the limit.

5. Acceptable Use

You agree not to:

  • Share your account credentials with any other person.
  • Copy, reproduce, or redistribute any content from the Service without our written permission.
  • Use automated tools, bots, or scripts to access or interact with the Service.
  • Attempt to reverse engineer, decompile, or otherwise obtain the source code of the Service.
  • Circumvent or attempt to circumvent any usage limits or access controls.
  • Upload documents that do not belong to you or that you do not have the right to submit for analysis.
  • Use the Service for any unlawful purpose or in a way that could harm [LEGAL ENTITY TBC] or other users.

6. Intellectual Property

All content within the Service — including but not limited to compliance checklists, legislation summaries, AI-generated analysis, design, branding, and software — is owned by or licensed to [LEGAL ENTITY TBC].

“Landlord HQ” is a trading name of [LEGAL ENTITY TBC]. You may not reproduce, distribute, publish, or use any content from the Service for any commercial purpose without our prior written consent.

7. AI-Generated Content

Landlord HQ uses artificial intelligence provided by Anthropic (Claude) to power compliance analysis features, including tenancy agreement checking and legislation monitoring. Whilst we take reasonable care to ensure the accuracy of AI-generated content, AI models can and do make errors. You must not rely on AI-generated compliance analysis as a substitute for professional legal advice.

Landlord HQ maintains its compliance rule library by hand against legislation.gov.uk and related government sources, and updates it when we identify a change. We do not commit to any monitoring schedule, and we cannot guarantee that our information reflects every legal change at the moment it comes into force. Always verify critical compliance requirements with a qualified professional.

Uploaded tenancy agreement documents are used solely to provide the compliance analysis you have requested, are not used for any other purpose, and are not shared with third parties. Uploaded tenancy agreements are deleted once analysis and any requested corrected agreement are complete. Generated agreements are deleted on download, and within 24 hours in any event. By default we do not store your documents at all. Certificate files are held only if you enable “Store my documents”, and are deleted when you disable the setting or delete them. We retain the outputs of the service, your findings, dates and checklists, for as long as your account exists. You can ask us to erase your data at any time by emailing hello@landlordhq.uk. Section 6 of our Privacy Policy sets out the detail on retention.

8. Geographical Scope

The Service covers compliance requirements under the law of England and Wales, and under the law of Scotland. The tenancy agreement checker covers England and Wales only. Northern Ireland is not covered.

9. Data Protection and Privacy

We are committed to protecting your privacy. We process personal data in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. For full details of how we collect, use, protect, and retain your data, and your rights, please see our Privacy Policy.

10. Limitation of Liability

The Service is provided “as is” and “as available” without warranties of any kind, whether express or implied. We do not warrant that the Service will be uninterrupted, error-free, or that the compliance information it provides is complete, current, or applicable to your specific circumstances.

To the fullest extent permitted by applicable law, our total liability to you shall not exceed the total subscription fees paid by you in the 12 months immediately preceding the event giving rise to the claim. Nothing in these terms limits our liability for death or personal injury caused by our negligence, fraud, or any other matter that cannot be limited or excluded by law.

11. Termination

You may cancel your subscription and close your account at any time via the Settings page in the app, or by emailing hello@landlordhq.uk. We reserve the right to suspend or terminate your access to the Service at any time if you breach these terms, without liability to you. Upon termination, your right to access the Service ceases immediately.

12. Changes to Terms

We may update these terms from time to time to reflect changes in our Service, technology, or legal requirements. We will notify you of any material changes by email to the address associated with your account. Your continued use of the Service after the notification date constitutes your acceptance of the updated terms.

13. Governing Law

These terms are governed by and construed in accordance with the laws of England and Wales. Any disputes arising from or in connection with these terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
